Background

The client is a global manufacturer and provider of precision instruments used in various applications, including research and development, quality control, production, logistics, and retail. The company employs over 10.000 people working on a wide array of projects. To manage information and documents efficiently, departments have implemented an internal system based on Microsoft SharePoint, with business processes automated using Nintex workflows.

Challenge

The system comprises thousands of internal site collections and Nintex workflows that facilitate daily activities and business process coordination. The client needed to migrate its SharePoint 2016 platform to Microsoft 365 / SharePoint Online and move all processes related to Nintex workflows to the MS Power Platform.  Some Nintex workflow functionalities, like the State Machine, couldn’t be directly replicated in Power Automate, requiring Mitrix engineers to develop workarounds. To overcome scope and estimation challenges, the team used a .NET discovery tool and maintained close communication with workflow owners.

Solution

The Mitrix team had the task of migrating workflows from Nintex to Power Automate. Initially, the process of manually identifying all workflows was time-intensive. To streamline this, our engineers created a utility that extracted workflows from MS SharePoint site collections and subsites, generating an MS Excel report. We then worked closely with each site owner to determine which workflows needed to be migrated. Once the workflows were recreated with the required actions in Power Automate, the team submitted them for User Acceptance Testing (UAT) by the customer.

The Mitrix team successfully migrated most of the websites, receiving positive feedback from the customer.

They confirmed that the workflows were effectively transferred, resulting in smoother business processes. We continue migrating workflows and offering support for the solutions in place, as well as providing consultation on MS SharePoint and Microsoft 365.
